Payment Terms & Cancellations
First Deposit: To reserve your preferred wedding date, we require a non-refundable $5,000 deposit.
Second Deposit: 6 weeks prior to your wedding, estimated food & beverage costs are due, based on your expected number of guests, including taxes and gratuities. Also, any unpaid guest rooms will be charged.
Final Balance: Last minute increases or additions made within 6 weeks or on-site during the event, your hosted bar services, will be paid by cash or credit card on your departure day.
Please Note: All deposits are non-refundable and non-transferable from the time of confirmation.
Guest Cancellations: You are responsible for ensuring that all rooms are filled on the night before and of the wedding. Should any of your guests cancel at anytime, the cost of their room will be added to your final bill, unless the room is filled and paid by another guest.
Weddings cancelled within 30 days will be charged 100% of the contracted food & beverage revenue, and 100% of all guest rooms.
Service Charges & Taxes
All food and beverage is subject to a 18% service charge. Canadian government taxes are as follows:
- Food — 5% Goods & Services Tax
- Alcohol — 10% Liquor Tax & 5% Goods & Services Tax
- Rental Equipment & Set Up Fees — 7% Provincial sales Tax & 5% Goods & Services Tax
- Accommodations — 10% Hotel Tax & 5% Goods & Services Tax
Labour Rates
- The labour charge for an event held on a Canadian Statutory Holiday is $4.00 per person
- Bartender (if host bar consumption is below $400.00) — $15.00 per hour / per bartender
Food & Beverage
No food of any kind, except Wedding Cake, may be brought onto the premises. The Lodge must provide all food and beverage including any non-alcoholic beverages. Due to health regulations, food cannot be removed from the premises.
The Lodge will only host ceremonies if they include a food and beverage function.
Menu and wine selections must be confirmed 6 weeks prior to your wedding.
Your guaranteed number of guests for all meals at the Lodge is required 6 weeks prior to your wedding. Any cancellations within 2 weeks of your wedding date will be fully charged to your final bill.
You must supply us with a seating plan indicating each guest’s individual entree choices, and dietary restrictions/allergies.
Children aged three to nine years old are 50% off the listed pricing, and children under three years old eat free if they do not require a place setting. All food and beverage prices are subject to 5% GST and a 18% gratuity.
Last call is at 11:45 pm. The bar will close at 12:00am.
The main dining room closes at 9:30pm or following dinner service, and all guests must leave the lower deck and lounge by 1:00am.
Liquor Laws
Liquor regulations as set out by the Province of B.C. prohibit service of alcohol after 12:00 am midnight. The host agrees to indemnify the Lodge for any claims arising out of negligent or wilful acts by the host or any of its guests. The host is responsible for the conduct of guests and damages incurred to the property, equipment or employees of West Coast Wilderness Lodge. The Lodge reserves the right to discontinue service to all guests. The host shall remain liable for all amounts owed to the Lodge.
Access
Unless specified otherwise by management, you will be given access to the dining room 12:30 pm, and the lower lounge dance area and ceremony deck at 11:00 am on the day of your event for personal touches.
Additional Terms & Conditions
Children must remain under adult supervision at all times.
Any function closing after its scheduled end time, including but not limited to the dining room, lower lounge or dance area, will be subject to an additional $300 per hour labour charge (plus applicable taxes) for any hour or fraction of an hour.
The Lodge assumes no responsibility for the damage or loss of any articles left on the premises prior to, during, or following a function. Any items left behind will be held at the Lodge for pick-up for 7 days after your event.
The Lodge reserves the right to enforce volume limits at all events.
All suppliers, DJ’s and bands are kindly asked to provide their own carts/dollies to move their equipment.
The Lodge must be consulted prior to the set up of any displays, decorations etc. The use of nails, staples, glue or any like materials is not permitted on any walls, doors or ceilings. All candles must be non-drip, and enclosed in a votive, jar, or lantern or sorts. The host shall be responsible for any damage to property of West Coast Wilderness Lodge.
Contract
A signed contract with a valid credit card number is required in order to secure your booking.
